How to Order Sensory Tools with a School Purchase Order

For business office staff, administrative assistants, and special education coordinators: the exact steps to purchase classroom sensory tools on an institutional PO with Net-30 terms — using our process at Lull Kids as the worked example.

The short version

  1. Email your official PO to info@lullkids.com (attach your tax-exemption certificate if applicable).
  2. We verify and reply with a formal invoice — no extra portals or paperwork on your side.
  3. Pay on Net-30 terms via ACH or check once your order ships.

Step 1: Get the vendor paperwork out of the way first

Most districts and hospital systems require a vendor packet before a PO can be issued. Request everything in one email so nothing stalls later:

  • W-9 — for your accounts payable setup.
  • Certificate of insurance (COI) — commonly required by district risk management.
  • Safety documentation — third-party lab reports (ASTM F963-23 / CPSIA) and a Children’s Product Certificate. Ours are public downloads.
  • Vendor registration forms — if your district uses its own onboarding forms or portal, a responsive vendor completes them for you. We do.

W-9, certificate of insurance, and vendor registration forms are sent on request — email info@lullkids.com and we return them within one business day. We also complete your district or hospital’s own onboarding forms.

Step 2: Handle tax exemption before the invoice

Send your valid exemption certificate with the PO, not after. The invoice then arrives tax-exempt from the start — no correction cycle, no refund paperwork for your business office. (At Lull Kids, exemption is applied to the invoice once we have a valid school district, hospital, or clinical exemption certificate on file.)

Step 3: What your PO should include

  • PO number and billing address for your district or organization
  • Line items with product names, colorways, and pack quantities (our wholesale pricing matrix and line sheet PDF have the current per-pack pricing at each volume tier)
  • Ship-to address and receiving contact
  • Buyer contact email for the invoice and tracking

Step 4: Payment and timelines

  • Net-30 via ACH or check for approved institutional buyers. Credit card orders are charged at the time of order instead.
  • Free ground shipping on every purchase order — no percentage-based freight surcharge and no minimum handling fee, so your quoted line-item total is what your budget pays. Tracking is provided; expedited shipping is available at cost.
  • Lead times: in-stock wholesale orders up to 249 packs ship within 3–5 business days; larger volumes within 1–2 weeks; custom/OEM production runs take 6–10 weeks from spec approval. Exact timing is confirmed on every quote.

Don’t need a PO? Card orders apply the discount automatically

Private clinics and smaller programs paying by card can skip the PO entirely: our online wholesale ordering applies the 25% (25–99 packs) or 33% (100–249 packs) volume discount automatically at checkout. Orders of 250+ packs are quoted individually either way.

Evaluating before you buy

If this purchase is still in the evaluation stage, start with our free resources: the vendor compliance checklist for your safety review, and a free evaluation sample kit so your OTs can test the products with real students first.
